PayNotify Solutions processes personal data in accordance with the principles of transparency, legitimate purpose, and proportionality under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations.
This Privacy Policy explains how PayNotify Solutions ("we", "our", or "us") collects, uses, stores, and protects personal information when you interact with our billing reminder service, whether as a business client or as a customer of one of our clients.
1. Who We Are
PayNotify Solutions is a billing reminder and customer management service for Filipino small businesses. We operate through the Facebook Messenger platform to deliver automated payment reminders on behalf of our business clients.
2. Data We Collect
From business clients (account holders):
- Full name and business name
- Username and encrypted password
- Chosen subscription plan
- Facebook Page-Scoped ID (PSID), if voluntarily linked
From customers of our clients (bill recipients):
- Name and optional contact details (email, phone number)
- Business name, if applicable
- Facebook Page-Scoped ID (PSID) — assigned by Facebook when the customer messages the business Page
- Billing records: bill descriptions, amounts due, and due dates as entered by the client
- Message records: content of messages exchanged via Facebook Messenger
- Payment proof images, if voluntarily sent by the customer via Messenger
- Facebook Recurring Notification token, if the customer opts in to notifications
3. Purpose of Data Processing
We collect and use personal data solely to:
- Deliver automated billing reminders via Facebook Messenger on behalf of our clients
- Allow clients to manage their customer billing records through the dashboard
- Respond to customer inquiries about their bill status or balance
- Maintain a record of reminder delivery and message history
- Authenticate and manage client accounts securely
We do not use personal data for advertising, marketing to third parties, or any purpose outside of the billing reminder service.
4. Legal Basis for Processing
We process personal data based on:
- Contractual necessity — to fulfill our service agreement with business clients
- Legitimate interests — to operate and improve the billing reminder service
- Consent — customers who opt in to Facebook Recurring Notifications have explicitly consented to receive reminders
5. How We Share Your Data
We do not sell, trade, or rent personal information. Data is only shared with:
- The business client who manages the billing account — they see their customers' names, contact details, bill records, and message history
- Facebook / Meta — as required to deliver messages through the Messenger Platform, subject to Facebook's Privacy Policy
- Anthropic (Claude AI) — message content may be processed by the Claude AI model to generate automated replies; data is not retained by Anthropic for training per their API terms
6. Data Retention
Personal data is retained for as long as the client account is active. When a client account is deleted:
- All associated customer records, bills, and message history are permanently deleted from our system
- Automated database backups are retained for up to 7 days before being overwritten
Customers may also request deletion of their individual data by contacting the business that manages their account, or by contacting us directly.
7. Your Rights as a Data Subject
Under the Philippine Data Privacy Act of 2012, you have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate or incomplete data
- Erasure or Blocking — request deletion of your personal data
- Object — object to the processing of your personal data
- Data Portability — request a copy of your data in a usable format
- Opt out of reminders — reply STOP to any Messenger reminder, or ask the business to remove you from their system

8. Data Deletion Requests
To request deletion of your personal data:
- Message us at m.me/paynotifysolutions with your name and the business you are associated with
- We will process your request within 15 business days and confirm once your data has been removed
- If your data was entered by a business client, we will coordinate with that client as part of the deletion process
9. Security Measures
We take reasonable technical and organizational measures to protect personal data, including:
- Encrypted passwords (bcrypt hashing)
- Session-based authentication with secure cookie settings
- HTTPS encryption in transit
- Access restricted to authorized client accounts only — clients can only see their own customers' data
- Daily encrypted database backups
10. Facebook Messenger Platform
Our service operates through the Facebook Messenger Platform. Your interactions are also subject to Meta's Privacy Policy. We are not affiliated with or endorsed by Meta Platforms, Inc.
11. Client Responsibility
Business clients using PayNotify Solutions are responsible for:
- Obtaining proper consent from their customers before sending Messenger reminders
- Ensuring the accuracy of billing information entered into the system
- Complying with the Philippine Data Privacy Act when collecting and managing customer data
12. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted at this URL with a revised date. Continued use of the service after changes are posted constitutes acceptance of the revised policy.
